Gedragscode / Behaviour Policy
SC Amforça has a behaviour policy, which is mandatory for all clubs and established as a rule by the municipality. Regardless of this obligation, adhering to clear guidelines on behaviour and showing respect for others is essential within the club.
Volunteers
SC Amforça has established a clear volunteer policy. Volunteers receive a small voluntary compensation for certain tasks, and the support of parents and other helpers is essential to ensure that the weekly matches run smoothly. Volunteering also strengthens the SC Amforça community, where everyone is an important part of the club.

A trust person in an association is a confidential and neutral contact point for all members. The role focuses on listening, supporting and guiding individuals who experience problems, conflicts or concerns within the club environment.

General Tasks of a Trust Person
- Confidential contact: Offering a safe, discreet space where members can talk about personal, social or club-related issues without fear of consequences.
- Listening and support: Taking concerns seriously, listening actively and providing emotional support in difficult situations.
- Conflict mediation: Helping to clarify misunderstandings and mediate between members, teams or committees to find fair and constructive solutions.
- Advice and guidance: Informing members about possible steps, internal procedures and external support services, without making decisions for them.
- Handling complaints: Receiving and documenting complaints about inappropriate behaviour, bullying, discrimination or harassment and, with consent, forwarding them to the appropriate bodies.
- Prevention and awareness: Promoting a respectful club culture, supporting codes of conduct and, where appropriate, helping to organise information sessions or guidelines.
- Neutrality and independence: Acting impartially, not taking sides in internal power structures and always focusing on the well-being and protection of members.
- Cooperation with the board: Working with the association’s leadership on structural improvements, while maintaining confidentiality about individual cases.
Through these tasks, the trust person strengthens a culture of respect, safety and openness within the association and contributes to long-term member satisfaction and retention.

Overview of Club Statutes & Regulations
Membership Rules
Membership is open to individuals who support the club’s purpose and agree to follow its rules. New members usually apply in writing or online and are accepted by the board or a designated committee. Membership begins once your application is approved and any initial fee is paid. It ends if you resign in writing, fail to pay required contributions after reminders, or are expelled for serious breaches of the rules, such as repeated misconduct or damaging the club’s reputation. In all cases, you will be informed of decisions affecting your membership and, where allowed, given a chance to respond.
Rights of Members
Members have the right to take part in club activities, use club facilities according to internal rules, and receive information about important decisions, finances, and plans. Full members usually have the right to vote at the general meeting, stand for election to the board, and submit proposals or questions. Some membership categories (for example, junior or supporting members) may have limited voting rights, which are clearly defined in the statutes. All members are entitled to fair treatment, respect, and equal opportunities, regardless of background or personal views, as long as they respect the club’s values.

Duties of Members
Members are expected to follow the statutes, internal regulations, and decisions of the general meeting and board. This includes paying membership contributions and any agreed fees on time, behaving respectfully towards other members, staff, and guests, and protecting the club’s property and good name. Members should follow safety rules, report serious problems or conflicts to the board, and avoid actions that could harm the club financially or legally. When representing the club at events, members should act in a way that reflects the club’s values and standards.
Decision‑Making Processes
The highest decision‑making body is usually the general meeting of members, held at least once a year. It approves reports, the budget, and major plans, elects and dismisses board members, and decides on changes to the statutes. Decisions are normally made by voting, with each voting member having one vote. The statutes define how meetings are called, what counts as a valid quorum, and what majority is needed for different decisions. The board manages day‑to‑day matters between general meetings and may set internal rules, as long as they do not conflict with the statutes.
Board Responsibilities
The board represents the club externally and is responsible for its overall management. It prepares the budget, oversees finances, ensures compliance with laws and statutes, and implements decisions of the general meeting. Board members must act in the best interest of the club, avoid conflicts of interest, and keep sensitive information confidential. The board meets regularly, keeps minutes of its decisions, and reports back to members, usually at the annual general meeting. Specific roles (such as chair, treasurer, or secretary) are defined in the statutes or internal rules.
Financial Rules (Contributions & Fees)
The statutes set the basic framework for membership contributions and other fees. They define who pays what, when payments are due, and who decides on changes to amounts (often the general meeting, sometimes the board within limits). The club keeps transparent accounts and uses its funds only for purposes in line with its mission. Typical expenses include facility costs, equipment, events, and administrative services. Members may be charged extra fees for special activities, but these must be communicated clearly in advance. Unpaid contributions can lead to reminders, temporary suspension of rights, or eventual termination of membership, as described in the regulations.
Changing the Statutes
Changes to the statutes are only possible through a formal decision of the general meeting. Proposals can usually be submitted by the board or by a defined number of members. Members must be informed about proposed changes in advance, together with the meeting invitation. A higher voting majority is often required (for example, two‑thirds of votes cast) to approve any amendment. Once adopted, changes take effect on the date stated in the decision or, if not specified, immediately. Updated statutes are made available to all members so everyone knows the current rules that govern the club.

Our Club’s Vertrouwenspersoon (Trust Person)
The vertrouwenspersoon is a safe, independent contact person for anyone in our club who feels uncomfortable, worried, or treated unfairly. You can reach out if you experience or witness conflicts, bullying, inappropriate behavior, discrimination, harassment, or anything that does not feel right. The vertrouwenspersoon listens without judgment, takes your story seriously, and helps you explore possible next steps at your own pace. They will never force you to act if you are not ready. Your privacy is protected: what you share stays confidential, unless there is a serious risk of harm and you agree that more help is needed. The vertrouwenspersoon does not take sides in club politics and is not part of disciplinary decisions, which helps them stay independent and focused on your wellbeing. You can contact them by email for a first, low‑threshold message, by phone if you prefer to talk directly, or you can arrange an in‑person meeting at a quiet, neutral place at or near the club. However you choose to reach out, you will be treated with respect, care, and discretion.

Expectations & Responsibilities
We want volunteering to be positive and rewarding for everyone. To support this, we ask volunteers to:
- Uphold our values: Treat all members, guests, and fellow volunteers with respect, fairness, and kindness.
- Be reliable: Arrive on time, let us know if you are running late, and give as much notice as possible if you need to cancel.
- Communicate openly: Ask questions if you are unsure, share ideas, and raise any concerns with a coordinator or committee member.
- Follow guidance: Respect club policies, safety procedures, and instructions from coordinators or coaches.
- Protect safety and wellbeing: Put the welfare of participants first, especially children and vulnerable people, and report any concerns promptly.
In return, the club will:
- Provide clear role descriptions and realistic expectations
- Offer appropriate training, guidance, and supervision
- Treat volunteers with respect and listen to feedback
- Recognise and celebrate volunteer contributions
Support, Training & Supervision
No one is expected to know everything on day one. We are committed to helping volunteers feel confident and supported in their roles.
- Induction: New volunteers receive an introduction to the club, key contacts, and relevant policies.
- Role-specific guidance: You will be shown how to carry out tasks safely and effectively, with opportunities to shadow experienced volunteers.
- Ongoing support: Coordinators and committee members are available to answer questions and provide feedback.
- Training opportunities: Where possible, we offer or signpost training such as safeguarding, first aid, coaching, or leadership skills.
- Safe environment: We aim to create a supportive atmosphere where volunteers feel comfortable speaking up and asking for help.
Expenses & Reimbursement
We do not want anyone to be out of pocket for helping the club. Reasonable, pre-agreed expenses can usually be reimbursed, subject to our budget and policies.
- Eligible expenses may include:
- Local travel costs to and from events or meetings
- Small purchases made on behalf of the club (with prior approval)
- Agreed training or course fees that directly support your volunteer role
- How to claim:
- Keep receipts or proof of purchase
- Submit an expense form or email the treasurer/committee
- Claims should normally be made within a reasonable time after the expense

Appreciation & Recognition
We deeply value the time and commitment that volunteers give. Recognising your contribution is a core part of our culture.
- Regular thanks: We make a point of thanking volunteers at events, in meetings, and in our communications.
- Spotlight features: Volunteers may be highlighted in newsletters, on our website, or on social media (with your consent).
- Certificates or small tokens: Where possible, we offer certificates, letters of thanks, or small gestures of appreciation.
- Celebration events: We aim to hold occasional gatherings to celebrate volunteer achievements and say thank you in person.
- References: On request, we can usually provide a reference outlining your role and contribution to the club.
How to Sign Up as a Volunteer
We welcome new volunteers at any time, whether you can help regularly or just occasionally. Getting involved is simple:
- 1. Express your interest: Speak to a committee member at an event, or contact us via our usual email, phone, or website form.
- 2. Discuss suitable roles: We will talk with you about your interests, skills, and availability to find a good match.
- 3. Complete any checks: For certain roles, especially those involving children or finances, background or reference checks may be required.
- 4. Attend an induction: You will receive an introduction to the club, your role, and key policies.
- 5. Start volunteering: You will begin with clear guidance and ongoing support from experienced volunteers or staff.
